Change a document
and the training follows.

Assign procedures to groups once, retrain on every revision that needs it, and export the training matrix your auditor asks for.

Retraining that follows the revision.

When a revised SOP is approved, everyone who trains on it is assigned the new version, so the training switches over on the effective date.

See who is behind on training.

Set the completion period once, and the dashboard shows who is overdue by person and group, so you can chase it before it becomes an audit finding.

Qualio organization training: 94% training completed, with completions, due and overdue counts per document

Training plans that follow roles.

Group procedures into training plans by team or role, so a new hire added to a group is assigned everything that group trains on.

A training matrix ready for the auditor.

Export the matrix for the whole company or a single plan as PDF or Excel, so the auditor sees every document, its version and the groups that train on it.

Document Control

Training is assigned from the controlled documents themselves, so a revised SOP and its training stay in step without a second system to update.

Copilot

It drafts the training quiz from the SOP. The document owner reviews it before trainees see it.

Frequently Asked Questions

What is training management in a QMS?

Training management is how a regulated company makes sure each person is trained on the current version of the procedures their work depends on, and can prove it. ISO 13485, FDA QMSR and cGMP all require training records. In Qualio, training is assigned from the documents themselves and tracked to completion.

How do you retrain employees when an SOP changes?

Assign the revised SOP to everyone who works to it, give them time to train before the revision takes effect, and track completion against the new version. In Qualio, approving a revision that needs retraining assigns the new version to every trainee, and the previous version’s training drops off on the effective date.

Do you have to retrain on every SOP revision?

No. Retraining is needed when a change affects how people do the work; formatting and typo fixes usually do not need it, and your training procedure should say which is which. In Qualio each document sets whether its next major version needs retraining, and earlier completions carry over when it does not.

What is a training matrix?

A training matrix shows which groups must train on which procedures, and at which version. Auditors ask for it to check that people are trained for the work they do. In Qualio it is generated from your training plans and exports as PDF or Excel, for the whole company or a single plan.

What training records do auditors ask for?

Auditors usually ask for the training matrix, each person’s training history for the procedures their role requires, evidence that training was completed before they did the work, and how retraining was handled after revisions. ISO 13485 clause 6.2 and 21 CFR 211.25 both require training records. In Qualio these come from the training records and the matrix export.
