# SharePoint and Confluence integration for document control and compliance | Qualio

Procedures assessed where your teams already keep them. Qualio reads a Confluence space every hour, brings in the SharePoint or OneDrive files you choose, assesses them clause by clause and writes nothing back.

## Procedures assessed where your teams already keep them

Qualio reads the pages in a Confluence space and brings in a SharePoint or OneDrive file when you pick it. It writes nothing back.

## What Qualio reads from Confluence, and what you pick from SharePoint

#### Confluence

Qualio reads each page in the space you choose: title, body, space, current or archived, link, author, last editor, version number with its message and the created and last modified dates. Embedded files come in as attachments.

#### SharePoint and OneDrive

Qualio reads nothing on a schedule. When you create a document in Qualio you can pick a file from SharePoint or OneDrive, and it arrives as a Qualio document with its name, link and last modified time.

## Connect Confluence or SharePoint

#### Confluence

Connect with your Confluence URL, an email address and an Atlassian API token, the same one Jira uses. Choose the space, a framework or a register for its pages, and a rule on any page field if only some count. Preview, save, and Qualio reads the space at once and checks it every hour.

#### SharePoint and OneDrive

An admin enters your Microsoft tenant domain and approves Qualio's app once. From then on anyone creating a document in Qualio can pick a file from SharePoint or OneDrive. There is no schedule to set.

## What a page or a file becomes in Qualio

####

Qualio assesses each Confluence page clause by clause for every standard you are audited against, with a recommendation on any gap, and reassesses it when the page changes.

####

A file picked from SharePoint becomes a controlled document. Your team reviews and approves it in Qualio, it takes effect on the date the approver sets and retraining goes out that day.

####

On audit day you export the audit pack by clause, with the Confluence pages and approved documents behind each one.

## Where it stops

Comments, earlier versions, attachments that are not embedded and personal spaces stay in Confluence. Qualio writes nothing to Confluence, SharePoint or OneDrive. Pages stay in Confluence and files stay in SharePoint.

#### When the token expires

If the Confluence API token expires or is revoked, the connection shows as Disconnected at once, reads pause and a banner on Qualio's Integrations page says so. Reconnect and reads pick up where they stopped. Qualio sends no email.

#### Deletions

Qualio retires a page deleted in Confluence within about six hours and removes the files that came in with it. A file deleted in SharePoint changes nothing in Qualio, because the document Qualio made from it is a copy.

#### One page failing

If one page fails to read, Qualio skips it, notes it in the activity log and reads the rest of the space.

## Guides

## Questions admins ask about Confluence and SharePoint

### Does our Confluence have to change?

No. Qualio reads the space as it is, with no plugin to install and no page template to adopt. Your authors keep writing in Confluence. Qualio picks up each change on its next read and writes nothing back to the space.

### Does Qualio watch our SharePoint folder?

No. SharePoint and OneDrive work differently from Confluence. A file comes in when someone picks it while creating a document in Qualio, and from then on it is a Qualio document, where review, approval and training run. A later edit in SharePoint stays there until someone picks the file again.

### How often does Qualio read Confluence?

Every hour. The first read happens when you save the connection and covers every page in the space. After that Qualio reads only the pages changed since its last look, and an edit made in Confluence reaches Qualio on the next read.

### What permission does it need?

For Confluence, an Atlassian API token for a user who can see the space you want read. Qualio stores the token as a secret and never shows it back in the app. For SharePoint and OneDrive, a sign-in to your Microsoft tenant and consent to Qualio's app, after which the picker shows the files that account can see.

### Who needs a Qualio seat?

Nobody in Confluence does. Qualio reads and assesses the pages without anyone there signing in. Reading and training in Qualio are free for everyone in the company. Authors and approvers of controlled documents are the licensed users, so a SharePoint file brought in for approval needs its approver on a seat.

## Which procedure would you assess first?

See a Confluence space read into Qualio on the demo, each page assessed clause by clause, and a SharePoint file brought in as a controlled document. Nothing changes in either.
